THE FINE PRINT // 

he Accounting Administrator reports to the Corporate Controller and is directly responsible providing support to ensure the functions of the accounting team. Supports HomeState’s Controller in execution of accounting duties such as daily business activities, end of period reporting, general A/P, daily sales summaries (DSS) and payroll support. The Accounting Administrator will also act as a project manager to oversee special projects as assigned, including but not limited to oversight, reconciliations, audits, and standard operating procedures (SOP) development. The Accounting Administrator contributes to the HomeState community by supporting standards of financial success. Responsibilities

ESSENTIAL JOB FUNCTIONS

Bookkeeping

* Perform daily review of sales journal entries and reconcile discrepancies if needed
* Download, review and when necessary, enter all bank account, credit card, and loan activity.
* Reconcile monthly bank account, credit card, merchant processor, and other third party sales statements, as needed
* Review invoices, check requests accuracy and completeness, match with documentation, such as purchase orders. Obtain proper approvals or signature authorizations.
* Coordinate credit card expense data disbursement, corrections to the GL on entries, reconciliation and CC payment prep)
* Ensure all vendor invoices are collected and entered into the accounting system and also obtain and review vendor statements where applicable. Work with team/third party to ensure vendor statements are reviewed timely.
* Prepare and execute weekly vendor payment run and maintain auto pay vendors as needed.
* Handle execution of wires, transfers, and ACH payments in the online banking system and cut manual checks when needed.
* Review and record payroll entries as needed
* Support period-end closing activities including reconciliations, journal entries, gift card adjustments, inventory and inter-company transfers
* Responsible for maintaining and updating well organized digital files in shared drive and accounting software (such as COIs, FEIN letters, etc) for each location and entity.
* Prepare and transmit monthly and quarterly sales tax returns and handle any other local or state taxes, fees, and filings. Assist with returns that are completed by CPA.
* Complete year end 1099s for distribution to vendors and IRS.
* Handle administration of opening, closing, and fraud alerts on credit cards and bank accounts.
* Resolve credit card chargebacks on various platforms (such as POS and online sales platforms).
* Assist with internal and external audits
* Participate in process improvement projects; data integrations to/from bank, data integrations to/from AP automation
* Compile ad-hoc reports as needed

General Administrative

* Maintain regular, predictable attendance, which includes attendance at all scheduled employee meetings.
* Monitor the accounting email in boxes, as well as vendor communication
* Travel between locations and support home office with general administrative tasks such as mail, assisting with change orders, and making bank deposits
* Maintain and organize any needed permits and licensing for the business and its future needs
* Participate in a wide variety of accounting and operational projects including cross functional support of SOPs that have department impact.
* Assist with project management on accounting department goals
* Fully understand and exhibit the HomeState culture, embodying our mission, visions and core values.

Experience

* 1-2 years in restaurant bookkeeping experience

Requirements

* Must have excellent math, reading and communication skills
* Excellent organization and time management skills
* Possess ability to plan, organize, schedule and complete work
* Strong computer skills; proficient Google business suite, MS Excel, Toast POS, and R365 preferred.
* Possess ability to be flexible and adaptable to meet the needs of the company’s goals
* Availability to work a minimum of five days per week. Extended hours and/or a sixth day may occasionally be required.
* Must be able to to travel between HomeState locations as needed via personal transportation method and ability to track mileage for reimbursement.

Physical Requirements

* Ability to remain in a stationary position for long periods of time (6 or more hours per shift, excluding break times).
* Ability to lift, push, pull, or carry up to 25 pounds (standard office equipment)
* Ability to perform certain repetitive motion activities (e.g., typing.)
* Ability to work in a constant state of alertness and safe manner.
